KEY DUTIES
* Operations
- Ensure the store day to day operations is ready for business (daily store check lists)
- Ensure all company properties are in serviceable condition
- Monitor stock levels and its movement to minimize “out of stock” situation but to maximize sales
- Set up and monitor all working procedures in order to provide and maintain good customer services to customers
- Attend to customer complains wherever necessary and take appropriate steps to solve such complains promptly
- Plan and approve repeat buys according to the company policies and guidelines
- Plan and conduct market survey in order to assess own competitiveness
- Build and maintain good relationship with business associates, suppliers, government authorities, head office departments, customers and staffs to facilitate smooth day to day store operations and enhance good corporate and store image
- Ensure reports, invoices are timely submission to HQ for onward processing
- Plan and monitor the manpower requirement and take necessary steps to fulfill the requirement to ensure good customer service is provided
- Ensure high standard of housekeeping in store
- Hold regular meetings and discussion with staff to review performance and process of the store and inform staff about company policies, plans, directions.
* Administration
- Ensure all store accounting manual and procedure are being complied.
- Approve and authorize all relevant documentation for submission to HO Account.
- Ensure timely submission of document.
* Manpower Planning and development
- Motivate and develop staff in order to encourage their professional development.
- Create and maintain an open working environment to all staffs.
- Train and supervise all levels of store staffs, providing product knowledge advice and guidance with the aim to develop a knowledgeable and efficient workforce.
- Evaluate staff performance and make appropriate fair recommendations for promotions or disciplinary actions when necessary.
- Build team work spirit among the staff.
- Handle staff’s grievances and complains from internal and external customers.
* Rules and Regulations
- Ensure all working procedures, the company’s policies, rules and regulations applied in the store are in accordance with the law and strictly followed by staffs, promoters, security guards.
- Maintain safe working conditions for employees and customers; Solve safety concerns quickly.
* Sales and profits
- Analyze store management performance reports and recommend necessary actions for improvements.
- Work towards achieving the sales target set by the management.
- Maintain controllable expenses within the budget set for the store.
- Responsible for Profit and loss of the store.
- Control shrinkage level within the budget
* Other duties

1. Customer Service activities: In charge of conducting and supervising all Customer Services activities, including:
- Provide good customer services. Be polite and listen alternatively to customers needs.

- Keep important secrets and confidential records in their personal custody.

- Prepare for daily float, stationeries.
- Regularly update foreign currency rate and be responsible for money exchange.
- Check on all credit cards used by customers against the black listed records supplied by credit card companies and make sure that both the signatures are identical. 3. House Keeping

4. Manpower planning

- Training, supervising, evaluating and where necessary, disciplining of Engineering & Maintenance Technical Staff.

- Investigate security breaches, fraud or any other misconduct. Assist with disciplinary and legal matters with such breaches as necessary.
- Be responsible for designing and implementing safety measurement guidelines for handling emergency situations. Train and briefing staff how to handle emergency situations.
- Arrange, assign security officer for money delivery to banks.
- Be responsible for overall Valet services.
- Cooperate closely with local police, fire-fighting office, Bureau of frequence control. Requirements: No sign of theft and intrusion, security plan, department’s goals are met with management requirement, submit reports on time. Fire-fighting, camera and EAS systems and security equipments are well-maintained and ready to use. Staffs are well trained and have deep understanding of security guidelines and manual in handling emergency situations.Money delivery is on time and safe. Valet services are run smoothly, efficiently.

+ Identify merchandise to be sold in store by:
- Analyzing the market demand and market trend.
- Identifying new and latest merchandise, brand in the market.
- View the balance stock to see fast moving, slow moving and basic items.
+ Survey and select suppliers/vendors:
- Do market survey: Get information about customer needs and preferences from vendors, current suppliers, competitors and select the sources of the fast moving and hot merchandise.
- Remain exiting and seek new tenants who may qualify to do business with the company and identifies suppliers for purchases.
+ Negotiating and contracting for the merchandise purchase.
- Negotiate prices, discount items and transportation arrangements, return old stock and slow moving items for the purchase of the merchandise.
- Be responsible for negotiating and preparing terms and conditions of the merchandising contract in accordance with the company conditions and law requirements.
+ Support suppliers, tenants in opening counters.
- Cooperate with suppliers/tenants to present and discuss about floor plan, lay out, fixtures, perspective plan, and installation within time frame given.
- Prepare and submit all necessary documents (floor plan, layout, fixture, subclass,...) to get approval and inform related departments and suppliers/tenants for opening new brand if any.
- Provide merchandises information for operations: supplier contact, price list, merchandise display checking, subclass, discount summary.
+ Support in managing merchandise.
- Check and support counters in displaying merchandise.
- Check to make sure the vendors/suppliers use the correct subclass and have delivered the correct merchandise.
- Discuss with supplier to select efficient merchandise for selling in the store.
- Secure enough goods for store inventory.
+ Place order and follow up on the order place:
- Select merchandise at the most favorable terms and conditions, price consistent with quantity, quality, specification requirements and other factors.
- Issue, review, verify purchase orders and process requisitions.
- Check deliveries and review order received for accuracy and best condition of merchandise; perform liaison between departments to have action for returning of wrong, damage items.
+ Review the merchandise sales performances (good/slow) and the assortment (right/wrong) periodically.
+ Cooperate with suppliers to conduct proper action to increase sale bases on the merchandise sales performances.
- Reorder good demand merchandise and still in demand
- Return under performance merchandise to suppliers if the purchase terms allowed.
- Issue IST (internal store transfer) to transfer stock to the faster moving stores.
- Set or recommend mark up rates, mark down rates and selling prices for merchandise.
+ Conduct the promotion activities to increase sales margin and to get rid of slow items.

- Preparing and submitting the Monthly Attendance Report to the respective authorization on the 23rd each month at the latest.
- Preparing and submitting the previous Monthly Training and Development Report to the respective authorization on the 7th each month at the latest.
- Preparing and submitting the previous Monthly Sales Incentive Report to the respective authorization on the 10th each month at the latest
- Preparing and submitting other personnel reports requested by the Functional Manager or Immediate Superior.
* Compensation and Benefits Management
- Effective implementing and managing HR Net-term to ensure the on-time smooth processing of attendance report.
- Researching data and preparing initial proposal for annual salary review.
- Effectively managing of the entire performance management process.
- Preparing and maintaining company’s salary structure, job documentation, and job evaluation system.
- Managing and solving matters relating to the health payment, medical, hospitalization package, etc.
* Recruitment Responsibility
- Identifying staff vacancies and recruiting, interviewing and selecting applicants for non-executive positions.
- Staffing in accordance with the company headcount, and with the company standard requirements for each position.
- Issuing Offer Letter to successful candidates.
- Monitoring and updating recruitment plan and budget.
- Updating and preparing Job Description for all positions within Store as per the standard format.
- Developing and maintaining relationship with employment agencies and other recruitment sources.
* Training and Development
- Planning, organizing training programs for new staff.
- Directly conducting new employee orientation and other related short skills for all new non-executive staff.
- Coordinating with the respective training authorization from the Head Office in organizing in-store training programs and on-the-job training activities.
- Ensuring that the respective training schedules are arranged timely and properly.
- Preparing performance appraisal form for respective authorization’s confirmation.
- Recommending, developing and scheduling training and development courses.
* HR Management
- Providing advice, assistance and follow-up on company policies, procedures and documentation to all staff.
- Coordinating the resolution of specific policy-related and procedural problems, employee grievances and inquiries.
- Working with union representative to resolve labor relation issues.
- Developing and recommending operating policy and procedural improvements.
